LND needs an Office Assistant / Front of House to help us drive forward on our journey.

We are looking for someone who can help ensure the smooth running of our office/suite spaces for our clients and permanent and hugely motivated team, who are supported by outstanding best-in-class project-specific freelance talent. To support them in always elevating all the work we do - creatively, effectively and with style, wit and grace ideally, someone joyful.

To be successful you need to be able to keep our workspace running smoothly and enable fellow team members to succeed in their roles by managing room schedules and potential conflicts. Taking inventory of office supplies and ordering more if needed. Helping establish and maintain office procedures. Assisting the senior management team when needed. Assisting with Finance / HR / Recruitment. Always ensure the communication is crystal clear.

Ultimately, to be an exceptional UNR Front of House will smash the above and thrive on wearing multiple hats, handling the wide range of administrative duties, client welfare and executive support-related tasks, adding energy and efficiency at every touchpoint. They will be able to work independently with little or no supervision. They will be well organized, nimble, flexible and flourish at the administrative challenges of supporting an office of diverse creative people ensuring that our values are nourished. They will “own” the smooth running, adding value at every touchpoint they own. They will make a significant and positive impact on the work environment (physical and virtual), the clients’ experience, supporting exceptional “Flourish & Fly” team collaboration and be an invaluable solutions-focused member of our team.

Responsibilities:
● Organise, co-ordinate and schedule the meeting rooms, meetings, appointments and
bookings.
● Meet and Greet - Providing support to all clients & visitors.
● Manage senior leads' schedules, calendars, and appointments
● Point person for maintenance, supplies, general office equipment, bills, mail and errands
● Work with HR/ Finance to maintain office policies as necessary
● Coordinate with IT department on all office equipment
● Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time
● Ensure filing systems are maintained and current
● Establish and monitor procedures for record-keeping
● Ensure security, integrity, and confidentiality of data
● Oversee adherence to office policies and procedures
● Perform review and analysis of special projects and keep the management properly informed
● Participate actively in the planning and execution of company events
● Monitor and maintain office supplies inventory
● Review office supply acquisitions
● Handle inquiries
● Maintain a safe, secure, and pleasant work environment

Requirements:
● Outstanding organisational & time management skills
● Strong listening and communication skills
● Proven office management, administrative or assistant experience including
● Knowledge of accounting, data, and administrative management practices and procedures
● Knowledge of human resources management practices and procedures
● Knowledge of business and management principles
● The capability to work independently
● The capability to work collaboratively
● Ability to work efficiently without compromising craft, quality or accuracy
● Great at all things Google - Sheets, Slides, Docs, Calendar, Chat & Spaces
● Desire to learn new skills and evolve your craft - it is something that everyone at UNR thrives on

We are currently hybrid - Two days remote & Three days In the office - unless a project requires different.
