The Role:

The Development Assistant will play a crucial role in ensuring the efficient operations and successful delivery of Development activities, providing vital support to the Development Manager. With an annual funding impact of approximately £120k, this role involves maintaining relationships with a diverse range of individuals, partners, and organisations.

This position offers an exciting and dynamic experience, providing a unique opportunity for someone to cultivate a broad skill set in fundraising and event management. The role will support the Development Manager in building donor relationships, ensuring meticulous administration and record-keeping, and facilitating the execution of supporter events. The role also supports the delivery of our editions programme, including edition production. Additionally, they are responsible for sales management, including managing the Gasworks online shop and exploring avenues for marketing and sales.

There will be opportunities for research, including exploring sponsorship arrangements and identifying potential new donors or supporters for Gasworks activities. We seek an enthusiastic, reliable, and highly motivated individual capable of handling a diverse range of responsibilities within the dynamic working environment at Gasworks. This hands-on role demands a high level of initiative, excellent communication skills, and strong organisational abilities.

Key Tasks and Responsibilities:

  • Assist the Development Manager in building strong donor relationships ensuring the proper delivery of benefits and supporting on communication.
  • Collaborate with the Development Manager to oversee the execution of events, including tasks such as identifying caterers, managing guest lists, and coordinating with colleagues.
  • Demonstrate meticulous use of Capsule and spreadsheet databases, ensuring accurate tracking of supporter donations.
  • Process donations and renewals, actively requesting invoicing and meticulously logging income.
  • Provide comprehensive administrative support, including logging contacts, meetings, and emails on CRM systems.
  • Support on the execution of events (private views, VIP events, and select public programming) in coordination with the Development Manager.
  • Assist with design and coordination of digital and print marketing collateral relating to editions and fundraising activities.
  • Ensure accurate listing of all patrons and supporters on the website and donor boards. • Assist with the management of external hires and bookings for the space.
  • Oversee the storage and presentation of the editions, including merchandise, while maintaining shop systems.
  • Collaborate with the Communications Assistant and Manager on social media and marketing initiatives related to editions, as well as the ongoing updating and maintenance of the Online Shop.
  • Conduct regular stocktakes and serve as the primary contact for all sales inquiries in the shop.
  • Work closely with the Bookkeeper on matters related to sales income.
  • Supervise the handling and storage of editions, including wrapping and shipping.
  • Support the Development Manager in editions production, maintaining communication with fabricators and framers.
  • Assist in the preparation and delivery of off-site showcases, including participation in art fairs.
  • Stay informed and knowledgeable about the Gasworks programme, including exhibitions, events, residencies, and participation activities.

General:

  • Actively seek to implement Gasworks policies including the Code of Conduct and Equality and Diversity Policy.
  • Contribute to and participate in a collaborative working environment, including weekly team discussions and other conversations.

Person Specification:

The successful candidate will possess the following:

Essential

  • Excellent communications skills, both written and verbal and attention to detail.
  • Strong administrative skills, highly organised and excellent ability to multi-task, delegate and prioritise within a busy working environment.
  • Excellent customer service and relationship building skills.
  • Excellent IT skills, working knowledge of Microsoft Office and Adobe software, ability to learn new systems quickly.
  • Experience of working as part of a small team and the ability to forge mutually respectful and effective working relationships with a diverse group of personalities.
  • An energetic, highly motivated, and enthusiastic team player with a flexible can-do attitude.
  • Demonstrable and informed interest in contemporary art and visual culture.
  • Keen interest to learn new skills.

Desirable skills and attributes

  • Experience of working with databases.
  • Experience of supporting and coordinating events e.g. dinners, charity fundraising events.
  • Experience of working in a small-scale arts organisation.
  • Experience of social media and website management.
