We are looking for an ambitious, motivated graduate/equivalent who wants to build their skills and experience in a small, dynamic arts charity.

The successful candidate will be ready to assist across a broad range of administrative and office tasks for our core programmes and events, demonstrating exceptional written and verbal communication, organisational skills, and meticulous attention to detail. The candidate will bring their own knowledge of social media and communications to continue to build a successful and impactful social media and public profile in the UK.

You will join a small team which works in partnership with major arts institutions in the UK. You will assist with the European Award administration as well as supporting communications for the Mobile Museum tours, Time Odyssey, Art Explora Academy and projects in development. On occasion, you will also support the Community Programme – a growing programme of arts in partnership with community organisations, led by our Community Programme Manager and delivered by our team of volunteers.

Communications:

Supporting Programme Manager and Communications Administrator with social media content, scheduling and managing social media account

• Edit monthly Art Explora English newsletters and occasional texts

• Assist with designing flyers and posts

• Proof-read and edited texts translated by the French team to English, using appropriate language for the arts education sector

• Copyright and image licensing

• Organise merchandise and print orders

• Ensuring the website is updated consistently.

General office and project administration:

Order general office supplies (IT, furniture, printer ink etc)

• Travel bookings (transport, hotels, etc)

• Collating Board Papers

• Board meeting minutes

• Digital and hard copy filing and data entry across programmes (Mobile Museum, Art Explora Academy, Award, etc)

• Identify suppliers and gather quotes

• Process invoices, expenses and receipts efficiently • Create and update presentations

• Guestlist management, tracking RSVPs for events

• Front of-house role at events • Liaising with the French team as required

European Award administration:

Assist the Head of International Development with the annual European Award

• Edit and proof-read all Award material translated from French

• Set up systems for international dissemination of information about the Award

• Manage Eudonet CRM system lists and update as required

• Research eligible arts organisations in priority countries

• Monitor the Award email account and reply to correspondence

• Help coordinate any Award events in Europe including travel arrangements for team members and invited guests

• Support work placement recruitment and onboarding Contact management

• Organise and manage contact lists with UK programme leaders

• Manage uploads and updates to the Eudonet CRM system for the UK team

• Coordinate with the French team on all CRM matters

• GDPR compliance

PERSON SPECIFICATION

Essential Qualifications and Experience:

Degree level qualification or equivalent experience (Marketing, Graphic Design or Arts) • Administrative and organisational skills • Social media content creation skills • Design skills: proficient use of InDesign, Illustrator, Photoshop or similar.

Desired Experience:

• Financial administrative experience

• Project or event experience

Skills and Abilities:

Outstanding verbal and written communication skills

• Confident and consistent writing style

• Excellent and proven organisation and interpersonal skills

• Ability to manage social media accounts and experience of or interest in building a profile on social media platforms (can be an organisational or your own profile)

• Ability to process financial documents according to agreed procedures and timelines

• Ability to work to strict deadlines and remain calm under pressure

• Ability to work under own initiative

• Computer literacy including Microsoft Office (Word, Excel, Outlook), Adobe InDesign or Photoshop

• Excellent desk research skills
